Close Out a Dutchie POS Register
A register closeout is easier to investigate when the cash stays associated with the register that produced it. Dutchie’s cash-management guide recommends a dedicated, labeled drawer for each register and a separate deposit bag for each drawer. It also says to wait until morning reconciliation is complete before combining register cash.
Pair the drawer with the register
At opening, a manager counts the drawer and records any overage or shortage. The assigned budtender confirms the starting float before using it. Dutchie gives $400 as an example float; the amount should be the one set by the store, not an assumed system default.
Use the same register label on the drawer and its deposit bag. Dutchie also recommends a manager double-count where possible and a Z report to support audits and discrepancy tracking.
Enter the closeout
In Backoffice, open Registers Transactions, choose the register under By register, then select Close out. In the Register, open the cash-management menu and choose its Close out tab.
Dutchie pre-populates the starting balance and cash income, then calculates the expected ending balance. Count the cash and coins, enter Cash counted, and save. The closeout shows the difference between expected and actual cash. Enter the float for the next shift; Dutchie calculates the deposit as cash counted minus that new balance. Add a note when it helps explain a variance, then close and confirm.
Reconcile before combining deposits
Put each deposit in its labeled bag and include the Z report when applicable. At reconciliation, count each bag and compare it with the Dutchie closeout and report before consolidating verified deposits.
Dutchie’s guide names several variance checks: a denomination counted incorrectly, cash moved between registers, a manual debit recorded as cash, the wrong starting balance, an unsealed deposit, or a counting error. Record the variance in the store’s chosen log and use its escalation procedure for unresolved amounts. Keeping deposits separate through reconciliation preserves the register-level trail needed to narrow down a difference.
